Pingstreams Privacy Policy

1. Introduction
PingStreams (“Pingstreams”, “we”, “us” or “our”) provides an AI-powered omnichannel customer service platform. This Privacy Policy explains what information we collect, how we use it, who we share it with, your rights, and how to contact us. By using PingStreams products, websites, or services you accept the practices described below.
2. Data controller & contact

3. What we collect
We collect information in three main groups:
A. Registration & Contact Information — information you provide when you sign up or contact us, such as name, email, company, job title, and phone number.
B. Customer Data — data you or your end users submit into Pingstreams to power the service (for example: customer names, email addresses, phone numbers, chat transcripts, attachments, order IDs, and other content). We process Customer Data to provide and support the service for you.
C. Technical & Usage Data — automatically collected information such as IP address, device and browser details, pages viewed, timestamps, cookies and similar identifiers, and basic location information derived from IP. This helps us operate, secure, and improve the Products.
We may also receive information from third parties (for example, CRM systems or advertising platforms) if you connect them to Pingstreams.
4. How we use your information
We use personal data to:
- Provide, operate, maintain and improve Pingstreams features and services (including routing, AI co-pilot, bots, and analytics).
- Process signup, billing, and account administration.
- Communicate with you about your account, service updates, and promotional offers when you opt in.
- Detect, prevent and respond to fraud, abuse and security incidents.
- Analyze product usage and performance, and to develop new features.
Customer Data is used only to perform the service for you and as described in your agreement with us. We do not use your Customer Data for unrelated purposes without your consent.
5. AI model training and automated processing
Pingstreams uses automated processing (for example, to generate suggested replies, detect sentiment, and route messages). We will not use your Customer Data to train or improve our foundational AI models without explicit contractual agreement or opt-in from you; any use of customer content for model training will be described in your Data Processing Agreement and require consent where legally required.
6. Cookies & tracking
We use cookies, pixels, and similar technologies to remember preferences, provide features, and analyze usage. You can control or block cookies via your browser settings; however, disabling certain cookies may affect site functionality.
7. Sharing & third parties
We do not sell your personal data. We may share personal information with:
- Service Providers: who help us deliver Pingstreams (hosting, payment processors, email delivery, analytics, etc.).
- Affiliates and subsidiaries where relevant for business operations.
- Legal & safety parties when required by law or to protect rights, safety, or property.
- Business partners for joint services but only as authorized by you.
Examples of typical categories of service providers used by platforms like Pingstreams include cloud hosts, payment processors, and messaging/notification providers. Contracts require vendors to protect data and only process it as instructed.
8. Payment processing
We do not store full credit card numbers. Payment processing is handled by third-party processors (for example, Stripe). Your payment card details are processed directly by the payment provider in accordance with their security and PCI standards.
9. Data retention
We retain your Registration & Technical data for business and legal purposes (for example, to maintain accounts and support). For Customer Data we retain information as required to provide the service and as agreed in your Customer Agreement. We will delete or anonymize personal data when it is no longer needed for the purposes described or when required by law. Typical retention windows for marketing/contact data (if applicable) are industry-standard — for example, inactive leads may be retained for a period (e.g., up to 24 months) unless you request deletion.
10. Security
We implement industry-standard technical and organizational measures to protect personal data against unauthorized access, disclosure, alteration or destruction. This includes encryption in transit and at rest where reasonable, access controls, and regular security reviews. For enterprise customers, Pingstreams supports contractual security and compliance addenda as needed.
11. International transfers
Pingstreams is a global service. Personal data may be processed or stored in countries other than your own. When transferring data internationally, we rely on appropriate safeguards (e.g., contracts, standard contractual clauses) and applicable legal mechanisms to protect your information.
12. Your rights & choices
Depending on your jurisdiction, you may have the right to: access, correct, delete, restrict or object to our processing of your personal data, and to obtain a portable copy of your personal data. To exercise these rights, contact privacy@pingstreams.io . We will respond in line with applicable law. For data portability and other GDPR rights we will provide reasonable technical support where feasible.
13. Data subject requests by others (end users)
If you are an end user and your data is held by a Pingstreams customer (their “Customer Data”), please contact that customer first for access, correction, or deletion requests. If you cannot reach the customer, contact privacy@pingstreams.io and we will assist in accordance with applicable law and our customer agreements.
14. Changes to this policy
We may update this Privacy Policy to reflect changes to our practices or legal requirements. Substantive changes will be posted with a revised “Last updated” date and, where required, notified to users.
